New Employee Paperwork
Students that have never been employed by the university need to fill out the following paperwork and return it to the senior administrative associate in CPE 2.802C before being assigned a position.
- Background Check Form
- Please do not fill out information beyond the applicant’s signature
- I-9 Form(page 4, section 1 of I-9 packet)
- PLEASE NOTE THAT AN ORIGINAL SIGNATURE WILL BE NEEDED
- See list of documentation (page 5 of the I-9 packet) that you will need to bring along with your I-9 form. You can either bring one thing that is listed in List A (ex. U.S. Passport), or you can bring a combination of one thing from both List B + C (ex. Driver License + Social Security Card). You can either bring your own copies, or the senior administrative associate can make copies of your original documents.
- Selective Services Form
- REQUIRED FOR MALE STUDENTS ONLY
- If you have already registered with Selective Services, there are instructions at the bottom of the form to obtain your registration number (if you don’t know it already)
- Enter “C0400” for Mail code and “471-5238” for campus phone
- Paycheck Profile
- Payment cannot be issued until this has been complete
Student Employment and Resident Tuition Entitlement Eligibility
Students who are not residents of Texas when they begin their study are subject to nonresident tuiton fees. However, a student can qualify for resident tuiton entitlement by reason of their own employment of a qualifying job title that meets the following criteria:
- Must be employed in an academic title- i.e. grader, tutor, undergraduate research assistant
- Must be employed at least 20 hours per week on a regular monthly basis (not hourly)
- Beginning employment date must be on or before the twelfth class day of a long semester or the fourth class day of a summer term and the ending employment date must be no earlier than the last official class day
- Job must be related to student’s degree program
Timesheets
Positions mentioned are typically hourly. In order to get paid, an hourly timesheet needs to be submitted to the hourly payroll contact in CPE 1.450D per the university Payroll Semi-Monthly Deadline Schedule. Supervisors need to sign off on submitted timesheets. In some cases, the supervisor may designate an alternative signer in their absence.
Students with monthly positions do not need to submit a timesheet in order to receive payment. However, they are obligated to work the number of hours per week they are assigned.
